Security Questionnaire Response Checklist: Five Reviews Before Submission
Use this practical checklist to catch vague, inconsistent, and unsupported security questionnaire responses before a buyer sees them.
A security questionnaire response should be accurate, understandable, and supportable. Before submission, review it from the buyer's perspective rather than only checking whether every cell contains text.
1. Check the Scope
Confirm that each answer addresses the buyer's question and the relevant product or environment. Avoid copying an answer from a different service without checking whether its assumptions still apply.
2. Replace Vague Claims
Phrases such as "we follow industry best practices" rarely give a buyer enough information. Where appropriate, identify the control, process, scope, or supporting document behind the statement.
Do not add technical detail that your organization cannot verify. A precise answer is useful only when it is true.
3. Check Terminology
Use the same terms throughout the response. Review names for systems, data classifications, authentication controls, incident processes, and retention periods. Inconsistent language can make correct answers appear contradictory.
4. Verify Dates and Evidence
Check that cited policies, certifications, reports, and review dates are current. If the buyer asks for evidence, make it clear which document supports the answer and whether access requires a separate request.
5. Escalate Uncertainty
Do not guess to keep a spreadsheet moving. Mark questions that require security, privacy, legal, or product review and give the owner enough context to respond quickly.
Make the Checklist Repeatable
Save the checklist with the response workflow so it is used consistently. A central answer library can also reduce the amount of rechecking required by making approved wording and source material easier to find.
